We love data, and as such we made it easy for you to access all sorts of different reports to help make the right decisions for your business.
When generating a report you will be able to set parameters such as Date Range, Season, Session, Client or Category. This will help to refine the reports that are being generated. It is important to note that not all reports allow for date ranges and some reports only can be looked up for 30 days.
Below is a list that don't allow to search by date range:
- Session Overview Report
- Subscribers Report
- Subject Unique Visits Report
- Subject Orders report
- Yearbook Report
The below list of reports that only allow the date range to be within the last 30 days:
- Order Data
- Order Financial Data

Note: The Order Data and Order Financial Data reports cannot be generated for dates that are further away than 30 days. We recommend for studios that would like to have this report for the entire season, download it once a month and store it on their own decives. This way the reports can be easily accessed and compared to previous months. |

Available Reports
Studios can generate the following reports through their Commerce account:
Report | Description |
Session Sales | Sales volume per session. This report also includes any applicable fees and refunds. |
Session Stage Sales | Sales volume per Session Stage. This report also includes any applicable fees and refunds. |
Session Overview | This is a full Session Overview report. All data attributed to a Session are included. |
Order Data | This is a full Order data export. All data related to an order is included. |
Orders Sales Tax | Sales tax for individual orders in a session. Includes the tax rates that have been applied and the originating Country and State of the order. |
Order Financial Data | All financial data related to an order. |
Product Sales | The volume of Packages and Products sold. |
Product Option | The volume of Product Options sold. |
Image Option | Volume for Image Options sold. |
Subscribers | A breakdown of all Subscribers for a Session. |
Subject Unique Visits | A breakdown of how many times each Subject has been visited. Visits are only tracked when the Session Stage ID Gate is turned on. |
Subject Orders | A breakdown of how many orders have been made for each Subject. |
Visitors Report | An export of visitors for a Session and their available information. |
Yearbook Order Report | A Yearbook order sales report based on the "yearbook" custom product type. |
Generating a Report via the main Navigation
- Select Reports from the left menu panel.
- Click the report that you want to generate.
- Within the report you can filter any combination of the following items:
- Date Range
- Search in Results
- Results by page
- Category
- Season
- Client
- Session
- You may then choose any of the parameters shown to search for the report you wish to generate. Once you have your selections in place press the green Run Report button. If there's a report to be generated, results will appear in the area below. Otherwise, make sure the search parameters you placed are correct.
- Once you're able to generate the report, you may then choose to download it as a CSV file by clicking on the corresponding button on the top right side of the page. Click the grey Download to CSV button on the top right of the screen.
Generating a Report from within a Session
- Locate the Session in the Client & Sessions >Sessions area and click on the session name.
- Click on Reports.
- Click on the Report you would like to create.
- Within the report you will be able to filter any combination of the following items:
- Date Range
- Search in Results
- Results by page
- Category
- Season
- Client
- Session
- You may then choose any of the parameters shown to search for the report you wish to generate. Once you have your selections in place press the green Run Report button. If there's a report to be generated, results will appear in the area below. Otherwise, make sure the search parameters you placed are correct.
- Once you generated the report, you may then choose to download it as a CSV file by clicking on the corresponding button on the top right side of the page. Click the grey Download to CSV button on the top right of the screen.
Search in Results
One of the parameters you can set is the Search in results option. This option is great to search for a subject by name. It could help to easily bring up multiple orders of that subject or its siblings if searched by last name. A good use case would be to establish wether a double transaction occured.
Visitor and Subscriber report Important Note
The Visitors or Subscribers reports are often used for emailing or messaging clients. This report has a column called Email Marketing Opt-In and another one called Phone Marketing Opt-In. It is important that if a client opted out and therefore the fields in this column shows NO, that this is respected and the client not be emailed or messaged.
The importance of Product codes in Reports
We recommend that you set a code when setting up your products or packages. This is especially important when you want to look up reports showing products or packages, as it will become hard to figure out which product was used if the product doesn't have a code.
In case you have previously forgotten to set product codes, you can add them retrospectively, as they will then appear in the reports once they have been added.
