The Folder Scan Import method is one of our options for importing subjects and their photo data into a session. If you are creating subjects with no images, please see Smart Folder Scan Import - Scan subject data without images.
Using Goodsync or Filezilla with a specific folder naming hierarchy we eliminate the need for a data file. We simply use a folder structure along with a specific folder naming convention. When the process is followed correctly it is a quick and easy method of automated uploading.

- Create a parent folder in the root Fotomerchant folder, the name of this parent folder should be relevant to the client involved (e.g. Pooraka Community Kindergarten). Be careful, this name will need to match exactly what the External Reference for the session will be. Inside the parent folder is where you place subfolders to represent either a Gallery or a Subject, each subfolder should contain the relevant images for the subject.
The naming structure for these subject folders depends on the information available and needs to be included in the import.
- Name only - Amy Smith
- Name and Password - Amy Smith --- YFDR85MG
- When all folders are ready press the Analyze button in Goodsync, followed by Sync.

Create Session in FM
- In Commerce, create a session using the relevant template for the session type and make sure the External Reference exactly matches the name of the parent folder you created above (it's case sensitive) and Save.
- Go to the Files tab, if the steps have been followed correctly, you should see the name of the folder has been picked up for scanning with the following message: We've detected a folder that corresponds with the external reference for this Session. Click the button below to initiate a scan of the folder specified below.
- Press the blue Scan for new files button to start the scan.
- It can take several moments for all of the subjects and galleries to appear with photos.
Troubleshooting
If the scan for new files button does not appear it could be for a few reasons:
- Did you sync the folders to Fotomerchant?
- Did you use a parent folder for the job?
- Does the name of the parent folder match exactly the External Reference as shown below?
- To see the session reference, look at the panel on the right inside the session. To make changes, click the Edit button on the top right.
- Once inside, update the Reference (optional) to match the parent folder name. Scroll down and click Save to confirm.
